Fundraising Thank You Letters / Expressing Gratitude

One of the most daunting tasks of small non-profit organizations is to raise money from the community. They are faced with the challenge of raising awareness of their cause and building a support base all with limited resources and an inexperienced staff.

To add to this the board and staff make common mistakes that will stifle fundraising efforts even before they get well into their stride. One of these mistakes is the failure to write thank you letters for the donations that they have received. Neglecting to send thank you letters sends the wrong impression to donors.

Avoid this mistake by following the tips given below:

Be Prompt.
Send your thank you letter within 48 hours of receiving the donation. If 48 hours is impossible the response time should certainly be under a week. The sooner the donor gets the acknowledgement the more impressed he’s going to be - not to mention being reassured that the money has been safely received.

Be Personal.
The thank you letter should be personalized and customized with the donor’s name. Connect the letter to the original request for donation. This might even be done while writing the original appeal material.

Be Enthusiastic.
Always use the thank you letter to remind the donor of how you intend to use the donated money. Describe in visual terms what the effect of the money will be. Include statements such as how crucial the timing of the donation is to the success of your project.

Show Respect.
Have the top ranking person in your organization sign the thank you letter. This will show the donor how important he is to your organization. Digital signatures are extremely impersonal and should never be used for fundraising thank you letters. Use blue ink for the signature to make it easy to tell that it is a real signature.

Be Thorough.
Include the name and contact details of a contact person in your organization in the thank you letter in case the donor has any questions. Make sure that this person is available and knows that he might be contacted by the donor.
